Executive Assistant

The Executive Assistant (EA) provides high-level administrative and operational support to ensure the smooth functioning of the Office. This role requires strong organisational skills, sound judgment, and the ability to handle confidential information with discretion. The EA acts as a key liaison between the nursing department and internal departments, clinical leaders, external partners, and regulatory bodies.


Key Responsibilities:

1. Executive Support

  • Manage the head of nursing's calendar, schedule meetings, and coordinate appointments across clinical and administrative departments.

  • Prepare meeting agendas, minutes, presentation materials, and follow-up action trackers.

  • Support daily operational decision-making through timely information gathering and coordination.

  • Handle confidential and sensitive documents with discretion.

2. Communication & Stakeholder Coordination

  • Serve as the primary point of contact for the Nursing Office, ensuring professional communication with internal stakeholders, healthcare staff, external organisations, and regulatory agencies.

  • Facilitate clear communication flow between nursing leadership teams and other hospital units.

3. Project & Administrative Management

  • Support key nursing initiatives, audits, and projects, such as quality improvement programs, accreditation activities, staff engagement efforts, and digital transformation projects.

  • Track project milestones, prepare progress updates, and coordinate resources required for implementation.

  • Maintain organised filing systems for clinical governance documents, policies, and reports.

4. Data & Reporting

  • Assist in collecting nursing metrics and compiling monthly/quarterly dashboards.

  • Prepare research materials, benchmarking data, and briefing notes for strategic meetings.

  • Ensure documentation is compliant with healthcare regulatory requirements.

5. Operational & Logistical Support

  • Organise events and activities such as training sessions, nursing leadership meetings, workshops, and staff recognition events.

  • Manage travel arrangements, expenses, and procurement of office supplies for the Nursing Office.

  • Coordinate rostering or staffing-related administrative tasks when required.


Qualifications & Requirements

  • Diploma or Degree in Business Administration, Healthcare Administration, Nursing, or related field.

  • Minimum 3–5 years of experience as an Executive Assistant or administrative professional, preferably in healthcare.

  • Strong proficiency in MS Office (Word, Excel, PowerPoint), scheduling tools, and healthcare digital systems.

  • Excellent communication skills, both written and verbal.

  • Strong attention to detail, high level of discretion, and ability to work independently.

  • Ability to prioritise tasks in a fast-paced clinical environment.
